Contractors' guide
This guide outlines processes and procedures before undertaking any contracted work with Campus Services.
The University has a zero-tolerance stance regarding verbal or other harassment towards any person on the University campus. The University has a No Smoking and No Vaping Policy in support of a smoke-free campus.
Vehicles must be parked in agreed designated parking spaces. They must not be parked in a location that affects a fire exit or the access of emergency vehicles. You will be required to move your vehicle prior to starting work if it is not parked in a suitable location.
Prior to starting work on the University campus all contractors must gain a permit to work permission to carry out their planned tasks.
Isolations of electrical and mechanical services also require an Isolation Certificate and need to follow the University’s Isolation and Tag Procedure.
Work on roofs must be carried out following the University’s Roof Access Procedure and Rules. This requires that you make yourself aware of the specific roof risk assessment for the roof you are working on. Access equipment used to work at height must have no defects and be appropriate for the task being carried out.
No work is to be carried out that affects fire exits or means of escape without authorisation from the University. Work should be carried out so that it does not cause a fire or false activation of the fire alarm system. Smoking and vaping are prohibited in University buildings and on campus. In the event of a fire alarm activation, you must evacuate the building.
Work involving heat generation or flame must be carried out in accordance with the University’s Procedures for Hot Works. A guidance sheet is available from Campus Services reception detailing this procedure.
Prior to carrying out any work to the fabric of a building a contactor must check the University’s Asbestos Register. In the event of asbestos being disturbed the University’s Asbestos Emergency Procedure, which is kept with the register, must be followed.
All materials and equipment stored on campus must only be stored in locations agreed with the University and should never be left in fire exits or means of escape.
Contractors must dispose of waste from the work site at the end of each working day. University skips and bins must not be used by contractors to dispose of waste. Only lockable skips, with the location to be agreed by the University, are permitted on the University campus. No waste must be put into the drainage system.
Appropriate barriers must always be placed around the working area to prevent unauthorised access and injury to anyone on the campus.
All equipment and tools being used must comply with any inspection or testing regulations, have in-service inspection and testing of electrical equipment (Portable Appliance Testing), and have their guards in place. If appropriate, dust collection/suppression should be fitted.
Protection must be in place to prevent the spread of dust. Fire detection alarms must also be protected to prevent a false fire alarm activation and then removed on conclusion of the work or prior to leaving site if the dust generation work cannot be concluded in a single day. The use of open or personal radios is prohibited and equipment that generates noise must be silenced to the lowest level possible.
All contractors must inform Campus Services of an accident or incident (first aid or near-miss happening on campus). This must be reported via the online University accident/incident reporting platform. Campus Services staff can access and complete the form with you.
